8 secrets of the perfect badge or the devil in the details

A badge is a participant's first touch of your event and an opportunity to make a pleasant impression on them! 😍

EDRID Event shares with you many years of event experience and reveals the secrets of how to make a badge not just a name card, but an elegant accessory so that the participant of your event keeps it as a souvenir.

What information is posted on the badge?

  • Event name
  • Date and venue of the event
  • Logos of the organizing company, partners or sponsors
  • First and last name of the participant
  • The patronymic is indicated in rare cases, most often when it is necessary to emphasize the status of the participant.
  • Company name and participant's position
  • A photo of the participant (optional)
  • is a QR code for the schedule of the day or a communication platform (website, TV channel, mobile application, etc.).You should not post the full schedule of the day - the text turns out to be small and there is no way to make changes to the timing of the event.

  • This information will help you easily identify a person and establish proper communication with them.

It is important that the badge is not overloaded. Duplicate the information on both sides so that it can be read in any position.

What size and shape of badge should I choose?

The appropriate badge format and size are selected depending on the amount of information being posted. It can be either vertical or horizontal. It can be either a small badge, the size of a bank card, or a rather large one, for example, A6 (105x148).

You can also make non-standard shapes and sizes (round, square, customized, etc.), but this will increase the cost of manufacturing.

The experience of the EDRID Event shows that the optimal badge size for accommodating the necessary content and comfortable wearing is 95x135 mm.

Don't forget to round the corners so that the badge doesn't cling to your clothes.

What kind of material are badges made of?

  • The most popular option is "paper" – cardboard of various densities is used for this. It is desirable that the indicator be higher than 180 g/m3, otherwise the product may tear or crumple. To increase the density, lamination can be applied – it can be glossy or matte.
  • Sometimes special silicone pockets are used, in which paper badges are placed. However, please note that they can glare and hide some important information.
  • Less often, metal badges are ordered, the image of which is applied with UV printing or engraving. The option is quite expensive.
  • The most undesirable option is self-adhesive badges and pin badges. Unfortunately, such decisions can ruin the participants' clothes.…
  • We recommend using plastic badges. They are pleasant to the touch, practical and ideal for multi-day conferences.

Please note that the higher the print run (the number of pieces per batch), the lower the cost per unit.

What kind of badge tape should I use?

The badge is usually attached to a lanyard with carabiners or clips, on which you can place a logo, a visual of the event, information about sponsors or partners, and so on.

The different colors of the ribbon can serve as an additional identifier of the roles of the participants, which makes them visible from a distance.

We recommend applying a visual on both sides of the tape.

A simple and effective way to ensure the convenience and functionality of the lanyard is to use a 1.5-2 cm wide ribbon on 2 carabiners - the badge will not twist and put pressure on the neck.

How do I make badge and lanyard layouts?

Determine the printing house where you plan to carry out production and request the technical requirements for the layouts (for the badge and for the lanyard).

Determine the information you plan to provide. Use a unified visual style that suits your event.

Use only professional graphics software. Remember that layouts must be submitted with departures – special marks for cutting cards.

Please note that the color rendering of the screen differs from the printers' capabilities. If it is important for your company to observe the company's colors, order a color test from the manufacturer, since each printing device must be customized individually.

When designing, do not forget to leave a place for the perforation for the fasteners. The holes should not block important information or the logo.

How many badges should I make?

A list of participants is compiled to count the number of badges. This is a painstaking job that requires special attention to detail. Even using special automated programs during registration does not protect against errors. Check that the full names of the participants and the names of the organizations are spelled correctly. Don't forget to reflect the role or status of the participants if you use this feature for identification.

Do not forget to provide badges to the organizing team, so it will be easier for participants to ask them for help.

What are badges with stickers?

EDRID Event uses a convenient and practical solution for personalization of badges: full name printing on transparent stickers that are glued to the branded blank badge directly at the reception desk.

This solution allows you to give a badge even to unexpected guests - those who did not register for the event on time.

And if the company regularly holds events in a single corporate style, then printing blanks in large numbers significantly reduces the cost of producing badges.

How do I issue badges?

No matter how perfect your badge is, it is important to properly organize the process of obtaining it. Don't let the queues and jostling in the check-in area ruin all your efforts.

Set aside at least 30 minutes for the registration process.

🔥 Consider in advance the number of staff at the reception. Involve at least 2 people for every 50 participants.
